How to Share your Google Calendar

Sharing your Google Calendar with specific people or having it available to the public has never been easier. In this blog, Onsite Helper shows you how to share your Google Calendar with someone as well as share it with the public. When allowing others access to your calendar, exercise caution. Your calendar’s full access permissions holder will be able to:

  • Answer invitations

  • Event creation and editing

  • Publish your calendar online

  • Receive emails when your calendar updates

  • Get rid of your calendar

How to share your Google Calendar with specific people

You can’t share your calendar from the Calendar app. Unfortunately, you’ll have to access your Calendar from a computer.

  1. Open Google Calendar on your computer

  2. Locate the “My calendars” option on the left. Click the Down arrow on it to make it larger.

  3. Select More followed by Settings and sharing, after hovering over the calendar you want to share.

  4. Click Add people under “Share with specific people.”

  5. Add the email address of a person or Google organization. Change their permission settings using the drop-down menu. Study up on access permissions.

  6. Select Send.

  7. To add the calendar to their list, the receiver must click the emailed link.

How to share your Calendar with the public

  1. Open Google Calendar on your computer.

  2. Locate the “My calendars” option on the left. Click the Down arrow on it to make it larger.

  3. Select More followed by Settings and sharing, after hovering over the calendar you want to share.

  4. Select “Access permissions” and then click Make accessible to the public.

  5. Choose the amount of access you want to grant in the drop-down option next to “Make available to the public.”

How to share your Google Calendar with everyone in your organization

If you use Calendar for work as well as for your organization, you’ll find the option to make your calendar accessible to everyone in your organization under “Access permissions.” With this setting:

  • Your calendar is accessible to those working for your company.

  • Your calendar won’t be accessible to those people outside of your company.

  • You can share the meeting information with people outside of your company if you invite them.
