New color categorization in Calendar to better understand how you’re spending your time

Google Calendar is a powerful, free service you can use to organize your schedule and coordinate events with others. It has many useful features, including the ability to share calendars with others and easily switch what is currently being displayed. You can access your calendar from any computer or mobile device as long as you are signed in to your Google account.


Use color labels to track calendar entries


To review how you spend your time, you can assign color labels to your calendar entries and track them in Time Insights. Learn more about Time Insights. Important: The color labels you assign to your events are only visible to you and anyone with "manage to share" access to your calendar


Create & assign a color label

From the Time Insights panel:

  1. On your computer, open Google Calendar.

  2. On the left, click More insights.

  3. On the right, next to “Time breakdown,” click Edit.

  4. In the “Your color labels” popup, you can:

  • Create a new color label: At the bottom left, click Add a new color label.

  • Assign a label to existing meetings: In the field that says “Add a label,” enter your label name.

  • Exclude certain events: Next to your preferred label, click Hide in Time Insights.

For a specific event entry:

  1. On your computer, open Google Calendar.

  2. Open an event invitation.

  3. Click Edit.

  4. Next to the calendar name, select the current calendar color.

  5. Create a new color label or add an existing color label.

  6. Click Save.

Tip: You can also right-click an event invitation to create or assign a color label.

  • To create a color label in the Time insights panel, navigate to Time breakdown > select By color > click on Add a Label.

  • To add a color label to an event, right-click on the event in your Calendar grid. Alternatively, click Edit > change the event color.

  • To see your Time Insights, click on Time insights in the left side panel > click on More insights.

Availability

  • Available to Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, Education Plus, and Nonprofits customers

  • Not available Google Workspace Essentials, Business Starter, Enterprise Essentials, Education Fundamentals, Education Standard, the Teaching and Learning Upgrade, and Frontline, as well as legacy G Suite Basic and Business customers

  • Not available to users with personal Google Accounts
